Legal basis and purpose of processing personal data<\/strong><\/p>\n<p data-start=\"895\" data-end=\"1184\">Under the EU General Data Protection Regulation, the legal basis for processing personal data is the legitimate interest of the controller (managing customer relationships and maintaining business operations), as well as the data subject\u2019s consent when personal data is collected for marketing purposes or for targeting marketing activities.<\/p>\n<p data-start=\"1186\" data-end=\"1226\">The purpose of processing personal data is:<\/p>\n<ul data-start=\"1227\" data-end=\"1479\">\n<li data-section-id=\"16h0zg3\" data-start=\"1227\" data-end=\"1256\">\u25cb communication with customers<\/li>\n<li data-section-id=\"7v102m\" data-start=\"1257\" data-end=\"1293\">\u25cb maintaining and managing customer relationships<\/li>\n<li data-section-id=\"gzbe0m\" data-start=\"1294\" data-end=\"1337\">\u25cb providing and developing services<\/li>\n<li data-section-id=\"szfrdd\" data-start=\"1338\" data-end=\"1412\">\u25cb marketing and targeted advertising (e.g. Google Ads and Meta Ads)<\/li>\n<li data-section-id=\"exkjs6\" data-start=\"1413\" data-end=\"1439\">\u25cb invoicing and accounting<\/li>\n<li data-section-id=\"d5x9y0\" data-start=\"1440\" data-end=\"1479\">\u25cb customer service and lead management<\/li>\n<\/ul>\n<p data-start=\"1481\" data-end=\"1683\">Cookies and similar technologies (e.g. analytics and advertising cookies) are used on the website to improve the user experience, analyse traffic, and target marketing activities.<\/p>\n<p data-start=\"1685\" data-end=\"1987\">The chatbot operating on the website (an AI-based conversational feature) may collect information voluntarily provided by the user, such as their name, email address, phone number, and the content of the message. The information collected through the chatbot is used for handling enquiries, providing customer service, and managing leads.<\/p>\n<p data-start=\"1989\" data-end=\"2142\">The data is not used for automated decision-making that produces legal effects concerning an individual or similarly significantly affects them.<\/p>\n<p><strong>5. Contents of the register<\/strong><\/p>\n<p>The information stored in the register includes:<\/p>\n<p>\u25cb person\u2019s name<br \/>\u25cb position<br \/>\u25cb company\/organisation<br \/>\u25cb contact details (phone number, email address, address)<br \/>\u25cb website addresses<br \/>\u25cb social media usernames\/profiles<br \/>\u25cb information about ordered services and changes to them<br \/>\u25cb billing information<br \/>\u25cb messages and lead information submitted through chatbots or forms<br \/>\u25cb other information related to the customer relationship<\/p>\n<p><strong>6. Regular sources of information<\/strong><\/p>\n<p>The information stored in the register is obtained from the customer, including:<\/p>\n<p>\u25cb website forms and chatbot<br \/>\u25cb by email<br \/>\u25cb by phone<br \/>\u25cb from social media services<br \/>\u25cb from contracts<br \/>\u25cb from customer meetings<br \/>\u25cb from enquiries received through advertising (e.g. Google and Meta).<\/p>\n<p><strong>7. Regular disclosures of information and transfer of data outside the EU or the EEA<\/strong><\/p>\n<p>The information is not regularly disclosed to other parties.<\/p>\n<p>However, the data is processed by the following service providers:<\/p>\n<p>\u25cb Google (e.g. advertising and analytics)<br \/>\u25cb Meta (advertising and targeting)<br \/>\u25cb Zoho (CRM system, Zoho Bigin, EU-based servers)<\/p>\n<p>Data may be transferred to and processed outside the EU or EEA when the service providers used (e.g. Google or Meta) process data within their global infrastructure. In such cases, appropriate safeguards required under the EU General Data Protection Regulation, such as Standard Contractual Clauses (SCCs), are used for the transfer of data.<\/p>\n<p>Information may be published to the extent that this has been separately agreed with the customer.<\/p>\n<p><strong>8. Principles of register protection<\/strong><\/p>\n<p>Care is taken in the processing of the register, and information processed through information systems is appropriately protected.<\/p>\n<p>Information systems are located in secure service environments, and access to data is restricted only to those individuals whose work requires it.<\/p>\n<p>The use of the chatbot, CRM system, and other digital tools is protected through access controls, passwords, and appropriate technical and organisational security measures.<\/p>\n<p><strong>9. Right of access and right to request rectification of information<\/strong><br \/>Every person registered in the register has the right to review the information stored about them and to request the correction of any inaccurate information or the completion of incomplete information. If a person wishes to review the data stored about them or request its correction, the request must be submitted in writing to the controller. The controller may, if necessary, request the person making the request to verify their identity. The controller will respond to the customer within the timeframe specified in the EU General Data Protection Regulation (as a rule, within one month).<\/p>\n<p><strong>10. Other rights related to the processing of personal data<\/strong><br \/>A person registered in the register has the right to request the deletion of their personal data from the register (\u201cright to be forgotten\u201d). Data subjects also have other rights under the EU General Data Protection Regulation, such as the right to restrict the processing of personal data in certain situations.
